Maintenance Coordinator

We are looking for an experienced MAINTENANCE COORDINATOR. This role will report to the Operations Manager in our Tampa office.  The ideal candidate will be accountable for the administrative tasks and coordination of resources to ensure that projects meet customer expectations and department goals/metrics.

  • Meet with salesmen/client to determine scope of work and gain a complete understanding of job once project has been awarded.
  • Evaluate project’s technical requirements to assure proper staffing and tools are in place to meet customer expectations and profit projections.
  • Have a good general understanding of the work of all trades and technologies involved in the project.
  • Coordinate scheduling with customer.
  • Assure all equipment, materials and subcontracts are ordered and delivered on time.
  • Define work to be done and assign/schedule individuals who are responsible for such.
  • Meet with install team to relay proper job information and documents.
  • Oversee the project on a daily basis and communicate with installers and subcontractors.
  • Ensures that code and safety regulation standards are enforced at all times.
  • Provide technical support to field installers in a timely manner.
  • Problem solve any issues that arise on job.
  • Continuous communication with customer throughout project and answer any questions regarding the project.
  • Manage all costs on job and responsible for overall profitability.
  • Provide weekly profitability and status updates on projects.
  • Ensure work is delivered as promised; perform a close out meeting with customer; provide proper documentation and training to customer once job is complete.
  • Monitor customer complaints to ensure that problems are resolved within a timely manner with the best solution possible.
  • Hold regular meetings to review completed, active and future jobs.                                         


  • Strong administrative, analytical and problem solving skills.
  • Technical knowledge of HVAC equipment.
  • Must possess good customer service and communication skills.
  • Ability to manage multiple jobs at one time and stay organized.
  • Communicate with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
  • Ability to work well with a team.



  • Minimum of 5 year’s experience in HVAC industry.
  • Industrial and commercial projects experience.
  • Experience in job cost reports and close out documentation.
  • Knowledgeable regarding the operation of HVAC and Energy Management Systems.
  • Ability to read, analyze, and interpret plans, specifications, contract documents, control drawings, service bulletins, technical procedure manuals, equipment specifications, and governmental regulations.
  • Must have a good working knowledge of the building construction trades.
